1. Introduction
These Terms and Conditions govern the enrolment and continued attendance of students at Solihull Music School Ltd. By enrolling your child and accepting these terms via our online portal, you agree to be bound by the provisions set out below.
These Terms and Conditions apply to all lesson types, including group lessons, individual lessons, and Mini Maestros. Please read them carefully before completing enrolment.
Definitions:
• “Solihull Music School,” “us,” or “we” refers to Solihull Music School Ltd, whose registered office is at The Laurels, 1637 High Street, Knowle, Solihull, B93 0LL.
• “You” or “the Parent” refers to the parent or guardian who has enrolled a student.
• “The Student” refers to the child or adult enrolled to receive lessons.
2. Enrolment and Acceptance
2.1 Enrolment is completed via our online portal. A place is confirmed only upon receipt of digital acceptance of these Terms and Conditions and the first monthly payment.
2.2 By accepting these Terms and Conditions digitally, you confirm that you have read, understood, and agree to all provisions contained within this document.
2.3 Enrolment is offered subject to timetable availability. We reserve the right to decline or defer enrolment where appropriate.
3. Fees and Payment
3.1 Monthly Payment Structure
The annual cost of lessons (44 lessons per year) is spread into 12 equal monthly payments, collected in advance on the 1st of each month via our online portal. Monthly fees are as follows:

3.2 Payments are collected automatically each month. It is your responsibility to ensure that sufficient funds are available on the payment date.
3.3 The monthly fee is not calculated on a per-lesson basis. It represents your share of the annual programme cost, spread evenly across the year. Fees are not reduced for absences, Bank Holidays (except as stated below), or any lesson missed by the student.
3.4 For students attending on Mondays, 42 lessons will be provided due to Bank Holidays falling on that day. Refunds will be issued accordingly.
3.5 Fees may be reviewed annually. Any changes will be communicated in writing with reasonable notice prior to the start of the new academic year.
4. Term Dates and School Holidays
4.1 Solihull Music School operates on published term dates, which are available on our website and displayed on school notice boards.
4.2 The school is closed for the following periods each year:
• Two weeks at Christmas
• Two weeks at Easter
• Four weeks in August
• All Bank Holidays
4.3 The school does not close for half-term and operates throughout the standard school half-term periods.
4.4 These holiday periods are factored into the 44-lesson annual structure and are reflected in the monthly fee calculations. No additional refunds are made for scheduled closure periods.
5. Notice Period and Cancellation
5.1 Lessons continue on a rolling monthly basis until cancelled. To cease lessons, two calendar months’ written notice is required, sent to learn@solihullmusicschool.co.uk.
5.2 Notice takes effect from the date it is received in writing. Fees continue to be collected during the notice period.
5.3 The notice period refers to two full calendar months of fees, not a number of individual lessons. For example, notice received on 16th March requires fees to be paid through to 16th May.
5.4 Where a monthly payment falls due during a notice period, the full monthly amount is payable. No pro-rata reduction is made for partial months unless agreed in writing by the school.
5.5 Any reduction in the notice period is at the sole discretion of the school and must be agreed in writing. A goodwill reduction does not set a precedent or alter the contractual notice requirement.
6. Teacher Allocation and Changes
6.1 Solihull Music School allocates teachers based on timetable availability, student level, and programme requirements. Teacher allocation is at the school’s discretion.
6.2 From time to time, it may be necessary to change a student’s allocated teacher. This may occur due to teacher absence, timetable changes, staffing changes, or other operational reasons.
6.3 We will always endeavour to provide reasonable notice of any teacher change and to minimise disruption to the student’s learning.
6.4 A change of teacher does not constitute grounds for a reduction in fees, a waiver of the notice period, or an immediate termination of enrolment without the standard notice being served.
6.5 If a parent or student wishes to cease lessons following a teacher change, the standard notice period set out in Section 5 applies in full.
7. Lesson Structure and Attendance
7.1 Consistency of Lesson Times
All group lessons run for their full scheduled duration, normally one hour. Lessons will not be shortened or cancelled at short notice except in exceptional circumstances.
7.2 Attendance by Fewer Students
On occasions when reduced numbers of students are present:
• The teaching portion of the lesson may be shorter, as material can be covered more quickly with fewer students.
• The teacher will remain present for the full scheduled lesson time. Additional time will be used for guided practice and individual support.
• This approach ensures that students present continue to make progress without absent classmates falling behind.
7.3 Small Class Sizes
• If a class permanently falls below four students, the school will endeavour to merge the group with another class at the same level.
• If a merger is not possible and the class reduces to two students, it will become a permanent 30-minute lesson.
• The fee for a two-student class remains the same as a group lesson fee. Only if the group reduces to one student does the fee change to the individual lesson rate.
7.4 Parent Responsibility for Attendance
• If your child is unable to attend a lesson, please notify us in advance wherever possible.
• No refund or credit is offered for student absences.
• All students continue to have access to our online learning portal, with live-streamed lessons and catch-up resources to support continuity.
8. Student Safety and Collection Policy
8.1 The safety and wellbeing of all students is our highest priority. The following collection procedures apply to all students attending Solihull Music School.
8.2 Children Under 12 Years Old
• All students aged 11 and under must be collected at the end of their lesson by a parent, guardian, or a responsible adult aged 18 or over.
• Students will not be permitted to leave the premises unaccompanied.
8.3 Children Aged 12–15 Years Old
• Students in this age group may only leave the premises unaccompanied if the school holds written consent from a parent or guardian.
• Without written consent on file, students must be collected by a responsible adult.
8.4 Students Aged 16 and Over
• Students aged 16 and above may leave independently unless parents or guardians have requested otherwise in writing.
8.5 Punctual Collection
• Please ensure you arrive on time to collect your child. Teaching and reception staff are unable to supervise students outside of their scheduled lesson times.
8.6 Designated Collection
• If someone other than a parent or guardian is collecting your child, please inform reception in advance.
• Without prior notification, students will not be released to an unrecognised adult.
9. Behaviour and Discipline Procedure
9.1 Solihull Music School is committed to providing a positive and productive learning environment for all students. We use a clear, progressive behaviour procedure to maintain a calm and respectful atmosphere.
9.2 The Procedure
1. Verbal Warning: If a student is disruptive, the teacher will issue a verbal warning.
2. Yellow Card: If disruption continues, a yellow card is issued. The student’s instrument will be disabled or drumsticks removed, and the student will sit quietly for five minutes before returning to the lesson.
3. Red Card: If disruption persists, a red card is issued and the student is removed from the classroom to sit quietly in reception for five minutes under supervision before returning.
4. Parent Contact: If disruptive behaviour continues or escalates, a parent or guardian will be contacted and asked to collect the student.
9.3 All yellow and red cards are recorded in the student register for monitoring purposes. In cases of persistent or serious misconduct, the school reserves the right to suspend or terminate enrolment.
10. Severe Weather and Force Majeure
10.1 In the event of extreme weather conditions — including but not limited to snow, flooding, or severe storm — that prevent safe access to the school, lessons may be cancelled for safety reasons.
10.2 No refunds will be issued for lessons cancelled due to circumstances beyond our reasonable control, including severe weather, utility failure, government-mandated closures, pandemic restrictions, or other force majeure events.
10.3 Where possible, we will endeavour to deliver affected lessons via our online learning portal to ensure continuity for students.
11. Data Protection and GDPR
11.1 Solihull Music School Ltd is committed to protecting your personal data and processing it in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
11.2 Personal data collected during enrolment is used solely for the purposes of administering lessons, communicating with parents, and meeting our legal obligations.
11.3 We do not sell or share personal data with third parties except where required by law or necessary for the delivery of our services (for example, our online learning portal provider).
11.4 You have the right to request access to, correction of, or deletion of your personal data at any time. Please contact us at learn@solihullmusicschool.co.uk.
12. Website Usage
12.1 By accessing www.solihullmusicschool.co.uk, you agree to use the site for lawful purposes only. All content on the site is owned by or licensed to Solihull Music School Ltd and is protected by copyright.
12.2 We do not warrant the accuracy or completeness of information on the website, and we reserve the right to update content at any time without notice.
12.3 Links to third-party websites are provided for convenience only. We are not responsible for the content of external sites.
13. General Provisions
13.1 These Terms and Conditions constitute the entire agreement between Solihull Music School Ltd and the parent or guardian in respect of the student’s enrolment.
13.2 We reserve the right to amend these Terms and Conditions at any time. Updated terms will be made available via our website and, where material changes are made, communicated directly to enrolled families.
13.3 If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
13.4 These Terms and Conditions are governed by the law of England and Wales.
14. Digital Acceptance
By completing enrolment via our online portal and checking the acceptance box, you confirm that:
• You have read and understood these Terms and Conditions in full.
• You agree to be bound by them on behalf of yourself and the enrolled student.
• You acknowledge that monthly fees will be collected automatically as described in Section 3.
• You understand that two calendar months’ written notice is required to cease lessons.
